When you use Waste X, we may process account information such as your name, email address, organisation, user role and account permissions.

We may also process operational information submitted through the service, including jobs and work assignments, waste movement and collection records, transport and delivery information, operational status updates, and other records entered or submitted while using Waste X.

Device and application information may include device identifiers used to register and authorise a Waste X installation, device type and operating system, authentication and session information, and application activity required to provide and secure the service.

Waste X may store operational information securely on a user's device so authorised field work can continue when internet connectivity is unavailable.

We use information where necessary to:

• provide and operate the Waste X service;
• authenticate users and authorised devices;
• provide work assignments and operational workflows;
• synchronise field information with the Waste X platform;
• maintain waste movement and compliance records;
• protect accounts, organisations and devices from unauthorised access;
• diagnose technical problems and maintain service reliability;
• provide customer support; and
• meet applicable legal and regulatory obligations.

We do not sell personal information to advertisers.

Waste X uses device registration and secure authentication to help protect organisational information. Authentication credentials and other sensitive application information may be stored using secure storage provided by the device operating system.

Waste X may use Face ID, Touch ID or the device passcode to protect access to the application. Biometric information is handled by the device operating system and is not received or stored by Waste X.

Local operational data may be stored in an encrypted database on the device.

We may share information with service providers that help us operate Waste X, including providers of cloud infrastructure and hosting, database services, email delivery, security and authentication services, and technical monitoring or support.

These providers may process information only as necessary to provide their services to us. Information may also be disclosed where required by law, regulation, court order or another lawful authority.

Waste X is primarily a business-to-business service. Where your employer or another organisation provides you with access to Waste X, that organisation may control information entered into the platform and may determine how it is used. Organisation administrators may be able to manage your account, permissions, device access and operational records.

We retain information for as long as reasonably necessary to provide Waste X, maintain operational and compliance records, meet legal obligations, resolve disputes and protect the security of the service. Retention periods may vary depending on the type of information and the requirements of the organisation using Waste X.

We use appropriate technical and organisational measures intended to protect information against unauthorised access, alteration, disclosure or loss. These measures include authentication controls, device authorisation, encrypted communications and encrypted local storage where appropriate. No electronic system can guarantee absolute security.

Some service providers used to operate Waste X may process information outside the United Kingdom. Where required, we use appropriate safeguards for international transfers of personal information.

Depending on applicable data protection law, you may have rights relating to your personal information, including rights to request access, correction or deletion, to restrict or object to certain processing, and to request a copy of certain information in a portable format.

If your Waste X account is provided by your employer or another organisation, you may also need to contact that organisation regarding information it controls.

Waste X is a business and professional operations platform and is not intended for children. We do not knowingly provide Waste X accounts directly to children.

We may update this Privacy Policy when our services, legal requirements or data-processing practices change. The latest version will be published on this page with an updated effective date.
